Real estate · Presales, channel partners, post-booking

Every portal lead answered in seconds. Every site visit booked.

Your presales desk is a callback queue with a headcount. A lead lands from 99acres at 11:40 PM, gets dialled at 11 AM the next day, and by then three other developers have already called. Voxdonna builds an AI employee that owns that window. It answers the enquiry the moment it arrives, qualifies on configuration, budget and timeline, holds a site-visit slot, and files the whole thing in your CRM before anyone opens a laptop.

Where presales leaks

Six things your sales head already knows and cannot fix with hiring.

None of this is a technology problem. It is a coverage problem, and coverage is the one thing a bench of callers cannot give you at 11:40 PM on a Sunday.

⏱️

The portal lead goes cold before anyone dials it

A 99acres, MagicBricks or Housing lead is shared with four developers at once. Your presales executive dials it the next morning, which means you are the fourth call and the third-best option by the time the buyer picks up.

👥

Presales scales by headcount, and headcount scales by launch

Every new project means another bench of callers, another round of product training, and another month before they can answer a question about carpet area without putting the buyer on hold. The bench disappears again once the tower sells out.

🗂️

Dead leads are a spreadsheet nobody opens

Twelve months of "just exploring" sits in the CRM untouched because recycling it costs the same dial time as a fresh lead and converts worse on paper. The buyer who was exploring in March is signing with someone else in October.

📅

Site-visit no-shows are not tracked, they are absorbed

The slot was confirmed on a call, never reconfirmed, and the RM finds out on Saturday morning when nobody arrives. Nobody logs why, so the same slot is lost again the following weekend.

🤝

Channel partners ask the same six questions, forever

Inventory left in C wing. Current price band. Brokerage slab. Whether the EOI is refundable. Your CP desk answers the same six on WhatsApp, one partner at a time, and the answers drift from partner to partner.

🧾

The CRM tells you what was entered, not what was said

Sell.Do, LeadSquared or Salesforce holds a stage and a disposition code typed by a tired executive at 7 PM. The budget the buyer actually named, the objection they actually raised and the reason they went quiet are all in a call nobody kept.

What the AI employee does

Three chains it owns from first message to CRM record.

Not a chatbot bolted to a form. A process with a start, an end, and a written record of everything in between.

Workflow A

Portal lead to confirmed site visit

  1. Lead lands from 99acres, MagicBricks, Housing, a Meta lead ad or the project microsite form.
  2. Webhook fires into the AI employee. First contact goes out inside seconds, on WhatsApp or voice, in the buyer's language.
  3. Qualifies live: configuration, budget band, end-use versus investment, possession timeline, funding, workplace and commute.
  4. Answers from the project knowledge base: carpet versus built-up, RERA registration number, phase and possession target, amenities, connectivity. Indicative price bands only.
  5. Scores the lead Hot, Warm, Nurture or Not Interested against your own rules.
  6. Offers two or three real slots from the sales-lounge calendar and locks one.
  7. Writes lead, score, transcript summary and slot into Sell.Do, LeadSquared, Salesforce or Zoho, assigns the RM, sends the location pin on WhatsApp.
  8. Alerts the presales head on Slack or WhatsApp for Hot leads only, with the reason attached.
Workflow B

Dead-lead revival and no-show recovery

  1. Nightly pull from the CRM: leads with no activity for 60+ days, plus every site-visit no-show from the previous weekend.
  2. Suppression pass against DNC, opted-out numbers, already-booked buyers and anyone an RM has touched in the last seven days.
  3. Outbound WhatsApp template or voice call, reopening on what actually changed: a new phase, a possession milestone, a revised payment plan, resale inventory in band.
  4. The conversation branches on the original objection stored from the first call, not a generic script.
  5. Re-qualifies budget and timeline, because both moved.
  6. Reboots the site visit, or drops the lead into a dated nurture track with a reason code.
  7. Updates the CRM stage, appends the new transcript, flags any lead whose budget crossed into a different project in the portfolio.
  8. Weekly digest to the sales head: revived count, re-booked count, reasons for loss.
Workflow C

The channel partner desk, automated

  1. Partner messages the CP WhatsApp number, or calls the CP hotline.
  2. Agent authenticates the partner against the empanelment list and their RERA agent number.
  3. Answers from the live inventory view: availability by wing and floor band, current price band, approved offers, booking-amount and EOI terms.
  4. Accepts a client registration, checks it against the CRM for lead duplication, and returns a written tagging confirmation so ownership is never argued later.
  5. Books the partner's client into a site-visit slot and notifies the assigned RM.
  6. Answers brokerage questions from the approved slab sheet. Never invents a number, never negotiates. Anything off-sheet routes to the CP manager.
  7. Logs the exchange against the partner record, so the CP desk can see who is producing and who is only asking.
Example AI employees

Five roles developers hire first. Start with one.

Each one owns a process, not a channel. You pick the process that is costing you the most this quarter.

01

The Presales Executive

Picks up every portal, ad and microsite enquiry within seconds, qualifies on configuration, budget and timeline, and books the site visit before a human has opened the CRM.

02

The Lead Revival Agent

Works the 60-day-plus dead pile and last weekend's no-shows, reopening on the specific objection that killed the first conversation.

03

The Channel Partner Desk

Handles partner enquiries, client registrations and tagging confirmations on WhatsApp, and keeps brokerage answers identical across every partner.

04

The Post-Booking Concierge

Answers construction-status, demand-letter, payment-milestone and possession questions for booked buyers, so the CRM team stops fielding them by phone.

05

The Multilingual Property Concierge

Runs the same qualification in Hindi, Marathi, Bengali, Tamil or French, and handles inbound voice notes from NRI buyers in the hours when the sales office is shut.

Business outcomes

What changes once the window stops closing.

Directional, because we publish what we can point at. The magnitude is yours to measure on your own pipeline.

01First response measured in seconds instead of the next working morning, on every lead, including the ones that arrive at midnight and on Sunday.
02Presales capacity stops being a function of headcount, so a new launch does not require a new calling bench.
03Every enquiry gets the same qualification, so lead scores mean the same thing across projects and the sales head can actually compare them.
04The dead-lead pile becomes a working list instead of an archive.
05Site-visit slots get reconfirmed and no-shows get a reason code, so the weekend calendar reflects reality.
06Channel partners get one answer instead of five versions of it, and client tagging stops being a dispute.
07Call content lands in the CRM as structured fields, so pipeline reporting is built on what buyers said, not on what an executive typed at the end of a shift.
Integrations

It writes back into the systems you already pay for.

No CRM migration, no portal rebuild. If it has an API, it is an integration. If it does not, there is a file.

Sell.Do

The India real-estate-native CRM with presales, inventory and channel-partner modules. If you run it, everything the agent captures belongs here.

LeadSquared

The other presales-heavy stack, strong on field routing and call distribution.

Salesforce

Used by the larger developers. Lead push, stage update and RM assignment.

Zoho CRM

The default for mid-size developers and brokerages that never bought a vertical CRM.

99acres, MagicBricks, Housing.com, CommonFloor lead APIs

The agent has to receive the lead before it can beat anyone to it.

Meta lead ads and Google Lead Form extensions

The other half of inbound volume, and the half that arrives at 11 PM.

WhatsApp Business Platform

The channel the Indian buyer actually replies on, and the only one where brochures, cost sheets and location pins land properly.

Google Calendar, Outlook, the sales-lounge slot sheet

A booked visit that is not on a real calendar is not a booked visit.

Inventory and unit-plan sheets

Availability by wing, floor band and configuration, read-only, so the agent never promises a unit that is blocked.

Slack, Microsoft Teams, WhatsApp groups

Hot-lead alerts to the RM and the presales head, with the reason attached.

Proof you can open

Four property agents, running in your browser.

These are demo builds, not deployments. They run on illustrative project data, and they take about a minute each.

Questions we get

What sales and presales heads ask first.

How fast can an AI agent respond to a 99acres or MagicBricks lead?

The moment the lead hits the webhook. In our Hiranandani WhatsApp demo the agent opens the conversation four seconds after a portal lead arrives at 11:42 PM, qualifies configuration, budget and timeline, and books a show-flat slot for the weekend. The point is not the speed by itself. The point is that you are the first developer the buyer speaks to, not the fourth.

Can an AI voice agent book a site visit without a human on the call?

Yes. Our TCG Real Estate demo does exactly that: the agent calls the lead after a form submission, qualifies budget band and configuration, offers two or three real slots inside the next five days, confirms visitor count, locks one, and sends the Google Maps pin on WhatsApp. The human relationship manager picks up the lead before the visit, already briefed.

Will the agent quote prices or promise a specific unit?

No, and that rule is built in rather than hoped for. The agent gives indicative bands, cites the RERA registration number for the phase, and routes the exact figure to the relationship manager. It never says a unit, floor or wing is definitely available. It says it will have the RM confirm, which is what your best executive already says.

Does it work in Hindi, Marathi and Bengali, or only English?

It runs in 22 Indian languages in one agent, and it switches mid-conversation when the buyer does. Technical terms buyers actually use in English stay in English: BHK, carpet, RERA, EMI, site visit. Outside India it runs the same qualification in French and English. Our Breteuil demo is a Paris and London property agency operating entirely in French.

How do we revive dead real estate leads without annoying them?

The agent works from the reason the lead went cold, which it has because it captured the first conversation. It reopens on something that actually changed: a new phase, a possession milestone, a revised payment plan, resale inventory that moved into their band. Suppression runs first against DNC, opt-outs and anyone an RM touched recently, so nobody gets called twice.

Can it handle channel partners as well as direct buyers?

Yes, as a separate AI employee with its own rules. It authenticates the partner against your empanelment list, answers inventory and brokerage questions from the approved sheet, accepts client registrations, checks for lead duplication and returns a written tagging confirmation. Anything off the approved sheet goes to your channel partner manager rather than getting improvised.

Does it integrate with Sell.Do, LeadSquared or Salesforce?

Those three plus Zoho are the ones we see most in Indian real estate, and the agent writes back to them: lead record, qualification fields, score, transcript summary, booked slot and RM assignment. If your CRM has an API, it is an integration. If it does not, the agent works off the lead source and hands you a structured export.

Pick the leakiest hour of your week. We will staff it first.

For most developers it is the window between a portal lead landing and an executive dialling it. Bring one week of lead timestamps and we will tell you what that window is costing you.
